Emails and phone calls to plan meeting times are terribly unproductive. Skip the headache of trying to balance the schedule yourself and outsource it to Needtomeet. Visit the site, enter the name, location, length and description of the event, and you'll see a calendar like the one above. The selection tool is set to the size of the meeting time so every block of time you allocate is at least big enough for the meeting. You can extend the window for a three-hour event, for example, to span five hours and give your participants more flexibility in choosing a time.
When your email or share a link with event participants they'll see a chart like the one below, already partially filled out during out test:
Unavailable times are greyed out, potential times are white, and the times you select as a responding participant are orange. Responders "sign up" but it's not like a hassle-filled email registration process they just have to plug in their name and choose a basic password so they can return to the schedule and change their availability and you can see who has responded.
