How to Sync Any Desktop Calendar with Google Calendar
Posted by Adam Pash at 2:00 AM on July 30, 2008

As of yesterday's announcement of CalDAV support in Google Calendar, you can now sync your Google Calendar with virtually any popular desktop calendar for free. Not only can you enjoy your favourite desktop calendar software and still get the benefit of the web interface, you can also sync any desktop calendar with any other across platforms using GCal as a go-between. Let's take a comprehensive look at how to set up bidirectional syncing between Google Calendar and your favourite desktop calendar—from Outlook and iCal to Sunbird and Thunderbird—for free.
Remember, this doesn't mean that you can sync Google Calendar with just one desktop calendar. It means that no matter what you're using—Outlook at work and iCal at home, for example—you can always stick to desktop calendars if that's what you prefer. Google Calendar now works as both a great web application and a dedicated syncing tool. It's the cloud, and once it's set up, you don't ever have to access your calendar through the web again if you don't feel like it. But when you're not at a desktop, you can fire up GCal from any web browser, make changes, and still be confident your desktop is completely in sync next time you fire it up. Let's get started.
Sync Microsoft Outlook with Google Calendar
Syncing calendar events between Outlook and Google Calendar has been a cinch ever since Google came out with Google Calendar Sync, a free application that provides bidirectional syncing between the two. (It also supports one-way sync in either direction, if for some reason you don't want two-way syncing.) Assuming you're using a supported setup (Outlook 2003 or 2007 and either Vista or XP), here's how to get it working.

- Download and install Google Calendar Sync.
- Enter your Google account email address and password.
- Select your sync method (most likely you want two-way syncing) and the sync frequency you prefer. It defaults to syncing every 120 minutes, which seems a little long for most.
- Hit Save and you're done. Easy, right?
If you've added a new item to your calendar and you want to force a new sync rather than waiting for Google Calendar Sync to run its next sync, just right-click the system tray app and choose Sync. It doesn't get much simpler than that.
Sync iCal with Google Calendar
As of yesterday, Google Calendar supports two-way synchronisation with iCal through the CalDAV remote calendar standard. Setting up iCal with GCal varies slightly based on whether or not you're using your default GCal calendar or a secondary calendar. First, here's how to set up your Google Calendar default with iCal:
Open iCal, then fire up your iCal Preferences (iCal -> Preferences or Cmd-,).- Click on the Accounts tab, and then click the '+' button to add a new remote calendar to iCal.
- Call the calendar whatever you want (I went with 'Personal' for my main calendar), then enter the Google account username (which is normally your Gmail address) and password.
- Click on Server options to display the Account URL text box. For your default calendar, enter the following URL: https://www.google.com/calendar/dav/youremail@gmail.com/user...replacing
youremail@gmail.comwith your actual email address. - Once you've done that, just hit Add and you're finished. Give iCal a few minutes to download all your events and you're good to go.
If you want to add a secondary calendar, the steps are exactly the same as above with one small difference. Instead of inserting your email address in the Account URL as described in step 4, you need to grab the calendar ID for that specific calendar. You can find it by opening GCal, clicking the arrow next to the calendar you want to sync, and selecting Calendar settings. In the settings, find the Calendar Address section near the bottom of the window, then just copy and paste the Calendar ID (which is formatted like an email address) in place of youremail@gmail.com in the URL above.

You can refresh iCal to make sure you've synced the latest-and-greatest at any time by selecting Calendar -> Refresh or hitting Cmd-R. (Original post)
Sync Mozilla Sunbird or Thunderbird with Google Calendar
Whether your using Mozilla's standalone calendar application Sunbird or Thunderbird with the Lightning extension installed (Lightning integrates Sunbird into Thunderbird), bidirectional calendar syncing between either application and Google Calendar is a breeze. The special sauce in this sync is the Provider for Google Calendar extension. Installing Provider in either Sunbird or Thunderbird is basically the same procedure, and here's how it works: - Download and install the Provider extension by saving it to your desktop, opening the Add-ons dialog in either Sunbird or Thunderbird, and dragging the file you just downloaded into the Add-ons dialog. Once installed, make sure to restart the application.
- Now that Provider is installed, you have to add your new Google Calendar. In Sunbird, go to File -> New Calendar; in Thunderbird, it's File -> New -> Calendar when you're in the calendar view.
- You're now looking at the Create new calendar wizard. Select "On the Network" and hit Continue.
Choose Google Calendar as the calendar type. The Location field requires the XML flavor of your calendar's Private Address, which you can get by opening GCal and choosing Calendar settings from the drop-down next to the calendar you want to access.
At the bottom of the settings page you'll see the Private Address section. Copy the XML link and paste it into the Location field in Sunbird or T-bird.- When you hit Continue, you'll be asked for your Google Calendar username (again, your Gmail address) and password. Enter it, give your new calendar a name, and hit Continue. You're done.
From now on, any event you add to that calendar will automatically sync to GCal and vice versa. You can reload the calendar to get the most up-to-date information at any time by clicking the Reload button in your toolbar. (The button is installed in the toolbar by default in Thunderbird, but you may have to customise your Sunbird calendar to add it to the toolbar.)
Sync Your Mobile Device with Google Calendar
If you're interested in syncing your mobile device with Google Calendar, you've also got a ton of great and free options. BlackBerry users can check out Google Sync, a BlackBerry app made by Google specifically for Gcal-to-BlackBerry syncing.
Alternatively, the free, open-source application GCalSync does bidirectional syncing between Gcal and tons of supported phones. (Original post)
If you're an iPhone or iPod touch user, you can set up automatic, two-way syncing between your Google Calendar (and Gmail contacts) with web site NuevaSync. (Original post)
Finally, if your phone supports SyncML, web application GooSync can handle Gcal syncing without installing anything.
Other Options
If you're not happy with the methods detailed above—which I selected because each represents the easiest and cheapest (read: free) option—there are still tons of other tools to sync Google Calendar with your desktop calendar. First, we've covered how to sync Google Calendar and Gmail contacts with the more technical GCALDaemon. Also, the cross-platform Calgoo just went free, with both Outlook and iCal syncing capabilities.
On a somewhat unrelated but still useful note, you can also now sync Google contacts with your Mac OS X Address Book.
How do you like to get your GCal on your desktop? Let us know in the comments.

Forgive me is if this seems an obtuse question, but does this new feature mean I can synch multiple calendars? At the moment I have 3 calendars in Google Calendars. I sue Google Calendar Sync to sync the main one so I cam make changes in Outlook 2007 or online, but the other two I have had to set up as Internet calendars so I can only make changes online.

@Stormbringer:
whatever rocks your world man. but to me, my palm desktop is so outdated. I use on a day, 3 different computers, and I got tired of trying to sync them. once, I synced them, and got a bunch of duplicate entries. Have you ever tried to remove duplicates? It's a big headache.
So for me, gcal is a great answer, with its text messaging alarm feature.

Not impressed. I don't understand the love affair with GTricks and iTricks. Maybe I'm too comfortable with my Palm Desktop, with its contacts, to-do lists and calendar (add e-mail and you've got mini-Outlook), and the fact that it synchronizes nicely with the Palm device itself so I have my alarms and reminders right next to me, I don't have any use for that stuff. Oh, and the Palm Desktop is a free download, period, if you want a decent application even if you don't have a Palm.

I gave up on google calendar when nothing recurring worked either way...I wanted to use GCal as my main calendar app, and just sync it to my work Outlook....well forget about that noise...anything recurring never worked. Didn't work the other way either.
Unfortunately, due to the integration of a lot of my work into Outlook, I am pretty much sticking with it. Outlook 2k7 is actually pretty good so it works for me.
Will end up using this for the personal calendar I think though....

To sync Lotus Notes calendar and Gcal:
1. Open Lotus Notes Calendar to view
2. Open Gcal, click "Manage calendars"
3. Select the calendar you want to sync
4. For My Calendars only: Scroll to the private address section,click on the green "ical" box and drag it over to your Lotus calendar. (note: do not click on the "ical" box to have the link pop up and drag the link, it will not work!)
5. For Public Calendars: Scroll to the calendar address section,click on the green "ical" box and drag it over to your Lotus calendar. (note: do not click on the "ical" box to have the link pop up and drag the link, it will not work!)
Not sure if this works on less than 7.0.3 though. Nice thing is that Notes will not duplicate already scheduled events next time the same calendar is imported. Overall, it's a manual sync, but only takes a couple of seconds.

I'm stuck with Lotus Notes at work but I found Companion Link for Google Calendar
[www.companionlink.com] that will push your work calendar to a google calendar. It, unfortunately, will cost you $30
If you want the luxury route, pop for the $100 full version [www.companionlink.com] like I did and you can automate the process. I setup a batch script that windows scheduler kicks of at noon and 6:00pm each day so it's fully automated for me.
Oh, and Lotus Notes sucks, hardcore. ANYONE who willingly implements it should be beaten with a 2x4 spiked with rusty nails.

biggest problem with the gcal sync to outlook is that it only will sync your primary calendar. However, you can view any other calendars in 'read-only' mode (OL2007 only) by opening up your accounts settings, going to the 'internet calendars' tab and adding the ical address of any other calendar you want. You can then overlay those calendars onto your own.
Like i said, the biggest problem with that is that it will only 2-way sync your primary account calendar in google.

The name of this article needs to be changed from: "How to Sync Any Desktop Calendar with Google Calendar" to "How to Sync Some Desktop Calendars with Google Calendar"
With Mac 10.4.11 I can sync (read: subscribe) from Google to iCal but not from iCal to Google. In other words, I can read from my desktop calendar but not make changes to it. Or, I can use iCal and not have it sync to Google Calendar. So, "How to Sync Any Desktop Calendar with Google Calendar" just ain't so!

@PapaGamer:
Here's what the Provider wiki says ([wiki.mozilla.org]
I want to be able to edit my calendars while offline!
This is only partially possible. If you open the calendar properties dialog by right clicking in your calendar list, you can enable the "Cache". This means you will be able to see your events while in offline mode.
It is not possible to change events while you are offline at current.

Can I totally recommend CalGoo over the default Google Calendar Sync? Its great for multiple calendars.
I have two computers, a personal desktop and a work laptop. I also have an iPhone. I keep two calendars, a personal calendar, and a work calendar.
My primary (Personal) calendar on my home computer (Outlook 2007) is sync'd to a google calendar using CalGoo. I then have a secondary calendar on my home computer (Work), that is sync'd to another google calendar.
On my laptop, the Work Calendar is the primary calendar, and stays sync'd with the work calendar. The home calendar is the secondary calendar. This means that any invitation that comes into my work email gets automatically added to my work calendar, and invitations to my home email get added to my home calendar.
All this, and both calendars sync to my iPhone via iTunes. Its quite glorious.

Looks like Outlook does/doesn't work with GCal Sync with or without Exchange, depending on if you're lucky.
For me, I've tried it with outlook with no exchange and outlook 2007 and it doesn't work. Firewall? Proxy? IIRC there's nowhere to set this up in GCal Sync.
In October we go Exchange. I'll try again then. :-D

Also, it's kind of ridiculous that each calendar is in it's own account. Is this iCal or Google?

This solution isn't that great on iCal. If you maintain multiple calendars, each one is assigned to a "separate server", and you can't move events from one server to another. So, for instance, I have Work, Personal, and Work-Private. If I create an event for Work, but later realize that "discussion of worker watching porn on computer" probably should be a topic listed on the calendar, I have to delete the event and add it to the other calendar instead of simply switching the calendar. This seems to be a problem with iCal, since you can do this on the gcal server.
I'm hoping I'm wrong and someone will tell me how to make this work better.

I'd be very cautious about using this to sync with my work Outlook calendar. Items in my work Outlook calendar could contain business sensitive information that I really don't want stored on Google's servers for them to search through, or beamed unencrypted across the internet if I happen to forget to use https to view my google calendar. It is for this reason, I use google calendar ONLY for personal things, and my Outlook calendar ONLY for work related items.

I just discovered that Yahoo! has a feature called "Yahoo! Auto-sync" that will sync your Yahoo! calendar with Palm Desktop 4.1.4. It also claims to sync with Outlook and Outlook Express.
I am using Vista, and I downgraded my Palm Desktop 6.2.2 to 4.1.4 to get it to work (4.1.4 _will_ work with Vista), and I managed to sync with my yahoo calendar, but for some reason yahoo advanced all my events by 4 hours. That might just be a difference in the clocks on my laptop and my Yahoo account, so I am still working on it.
Yahoo! Calendar will also let you Import a Palm Desktop .dba file (as well as export) and you can also export as .csv (for Outlook and others).
Anyway... long story short, you can also use yahoo calendar as a go-between to convert to and from .csv.
I don't know if Google calendar supports .csv imports/syncs, but i also found this: [manas.tungare.name]
This site (supposedly, haven't tried yet) lets you take a .csv file from Yahoo! Calendar and convert it to iCal, which _might_ then work with Windows Calendar (it makes a .ics file). It also apparently works for iPod and iPhone (if you like that sorta thing).
Sounds convoluted, but it's the easiest work-arodun I've seen so far. Maybe that would work with Google Calendar as well?

1) GCal will sync with Outlook as long as your Outlook is not using an Exchange store. You don't have to have your GMail account set up in Outlook in order to sync, you just can't have your Outlook Calendar in anything other than a local .PST file.
2) Provider DOES NOT SYNC GCal with Sunbird/Thunderbird. Rather, is displays GCal within the S/T interface. If you're offline--fuggedaboutit. To actually SYNC GCal with S/T, you have to use GCalDaemon, which is somewhat complicated to set up and, I found, rather buggy.

I get highly urinated off when Google releases something like this and fails to release a simple task list or contact sync.
I have to continue to use Plaxo to keep everything up to date. And yes, I pay for Google Apps, so I am not just trying to get things for free.
Google needs to do something useful instead of releasing things like this. Tasks, with sync. Contact sync. The thing can never actually compete with Outlook/Exchange while these two items are left unfilled.

@Letsgohokies: The setup creates a new calendar, so I'm guessing all of your old calendar information is still in your old calendar and won't be synced. To get it synced up with Gcal, you'd have to move all the old events to the new synced calendar you just set up.

The calendar sync works great! On a related note, does anyone know how to get Address Book.app to actually sync with the contacts? I did the plist hack and was given the option to sync my Google contacts, but how do I trigger it?

Google Calendar Sync SUCKS for those of you trying to Sync your WORK Outlook account with your Gmail account. In order to sync properly, your Outlook account MUST BE your GMAIL ACCOUNT. This is from Google, not me. So it's junk right now IMHO. Fix that and then I'll use it.

But, I don't want to synch my Google calendar with iCal. I want to sync iCal calendars with Google. I have 8 or so calendars in iCal all showing at the same time. They are different categories. I'd like them all to show up on Google Calendar. I suppose I am the only one that has a Personal Calendar and Church Calendar and Travel and Birthdays and Holidays all as separate calendars in iCal (and so on my Palm). No one else really does categories in calendaring? -fred

I love Google Calendar. I have been wanting to sync it up with a desktop app for some time but hadn't had any luck. My PC has Windows Calendar. I have been able to "subscribe" to my Google calendars but it is a read only set-up. I didn't see anything above on how to get around that.
A little while ago the How-to Geek did a post on how to Change Thunderbird Start Page to any web page that you wanted ( [blogs.howtogeek.com] ). My immediate thought was to use Google Calendar. My first obstacle was it was asking me to sign-in, when I did it launched the Calendar in Firefox. Someone suggested installing the Thunderbrowse extension for Thunderbird which I did. This didn't solve my problem either. I ran into a problem with cookies not being enabled.
Anyone have any tips on how to solve that dilemma?

@Mollari:
You can drag 'n drop between calendars. If you "edit", you can't pick a different calendar. But I have successfully just dragged a calendar event to one of the others listed on the left. I tried this between Gcal and a local iCal and back again. I'm assuming that it'll work fine w/ two Gcals.

I'm still looking for a free solution to sync my Google Calendars (yes plural) with my Windows Mobile 6.1 phone. I have looked at some of the commercial alternatives, but feel they are either over priced or I have had issues with the trial so I didn't purchase. It just doesn't seem like it would be a very difficult task to have my calendars sync up with my WM phone... and I agree, why is Google doing this piece by piece? Not sure if this was covered here on Lifehacker or not, but you can sync your Google Calendar with the calendar on your iPod Touch or iPhone as well.
As far as I know, I am using the firmware 1.1.4 as of posting this (may update to the 2.0 here soon, still debating but that is another story).
Anyway, the app is called "Nemusync" and its in the installer. And what you do is install the app, and then have the app sync your information from Google Calendar right to your device or vice versa. Its freaking awsome.
Now just think if your sharing a calendar with someone who updates it frequently, talking about the flow of information. I hope this helps for anyone who was curious to know. Like I said, I think this was also covered here on Lifehacker, so a little searching may be most helpful :D

Although I can have different color "tabs", when I lay the calendars on top of each other, they are all the same color and do not indicate to me visually what they are for. Airset has a lot of great features and I think is the direction Google needs to go, however, I can set it up without too many issues, but I think the average user may get confused.

As suggested by Zakharm, I've found SyncMyCal to be very good.
I am using the mobile version to sync my google calendar directly with my windows mobile device. The free version allows syncing multiple calendars whereas alternatives like goosync and oggsync require the pro version.
The only limitation of the free/lite version of SyncMyCal Mobile is that it only syncs events +/- 3 days (however, recurring events are fine).
Goosync and Oggsync's premium pro service are yearly subscriptions, whereas SyncMyCal Mobile is a one-time fee, at around the same price.

I'm excited to hear about this, because I use Thunderbird/Lightning with my Sun Java work calendar and now should be able to use it with my Google Calendar also. However I can't make it work with the instructions listed above. I've added the Provider Extension. When I create a new calendar, it does not give me the Google Calendar option. It only gives me ICS, CalDAV or Sun Java. I have selected CalDAV and inserted the Google Calendar URL as indicated. It shows up as a calendar, but I can't see any of the appointments. Can anyone help, or point me to a place that can? Thanks!

I submitted a question here about trying the sync with Notes, but it has not appeared (perhaps because I am new?).
I followed the instructions to attempt to sync Lotus Nites, but it may not be working because I am on 6.x verison of Notes.
But, I followed the given instructions, and from manage calendar, I could not find an ical anything.
I tried grabbing my calendar (it is titled by my name, I only have one calendar). I clicked and dragged it to my Notes calendar.
The first time it request some certificates, which I allowed.
The second time it churned for 10 to 15 seconds, locking Notes and my browser, but no calendar events were exchanged.
Is this what should happen, and it just didn't work because I have an old Notes?

bubi73,
~~~To sync Lotus Notes calendar and Gcal:
I tried your instructions to sync my Google calendar,
I have Lotus Notes 6.something, and it looks like it is trying.
The first time I tried it requested a couple of things about certificates. I allowed those thinking I was on the right path.
I tried it again, and it locks up Notes and my browser for a couple of seconds, but no sync takes place.
It could be that I am on an older version on Notes.
But, to be sure, when I click on manage calendars, you say to click and drag the green ical,
When I click manage calendars, I am on the Calendars tab,
then I have only 1 calendar (it is title my name), I click and drag that and it tries to do something, but nothing is synced.
Is that what you were talking about with ical?
There is nothing explicitly called ical on my calendar page, and I looked at the different tabs.
If that is correct, then I suppost this will not work for my version of Notes!
USE CAUTION when syncing Google calendar with your work calendar! I sync my home and work Outlook accounts via Google Calendar, which I will admit is very handy and has robbed my PDA of it's last vestiges of usefulness.
However, be aware that Google Calendar adds the owner of the synced Google calendar as an attendee at ALL of the meetings you organize through Outlook. (you don't have to "accept" the invite through your Gmail account, it just auto-adds your account name into the list of Outlook attendees) This isn't that big of a deal if you have the standard first.last@gmail.com configuration, but I was using my personal account. All of a sudden I had work meetings set up with "Bob, Joe, Chris, Jane and superBadGirl" as attendees. Obviously I do NOT go by superBadGirl in the office, nor do I want my gmail username (and therefore pretty much my whole online life) to be common knowledge there.
I wasn't sure if canceling my attendance at the event via my Google Calendar would trigger an auto-response from "superBadGirl" to everyone on the attendee list, and I literally lost sleep in figuring out what to do about it. (I got no response via the Google Calendar help forums.)
I think this is a rather nasty and unintuitive "feature" that Google doesn't tell you about, and I liken it to the "on behalf of" info that shows up when you use other accounts from within your main Gmail account.
Now I sync via a different (first.last@gmail.com) calendar that I've set up specifically for that purpose, which is a pain because I have to log in and out of that account when I want to see my info online. But it's worth it, obviously.
Just be careful, is all I am saying.
Right now a calendar item that I add to my Google calendar appears in iCal, but an item added in iCal does not appear in my Google calendar. Is this the way it works? I was under the impression that bidirectional syncing meant that an item added in either calendar would appear in the other. Also, I could not add a secondary calendar from Google into iCal as per the instructions. When I copied and pasted the id for the calendar into the Server Options box and clicked "Add" the message that the Calendar with that id could not be found. Are these problems on my end or a temporary glitch? Thanks
@superbadgirl: I'm assuming that you have it set up to do a two-way sync? I currently have Google Calendar Sync set to push everything for work to Google Calendar.
@caitlindimareoliver: Agreed. I ended up changing my default calendar to my work calendar and moving all my personal stuff to other calendars. Assuming you don't want your personal stuff on your work calendar, this should work just fine - can be a bit painful to move stuff around, though...
