Best Contact Management Tools?
Posted by Adam Pash at 12:00 PM on April 23, 2008
In the 21st century, the majority of our correspondence takes place digitally, which means easier, faster, and more efficient communication with our contacts. But the proliferation of digital communication also means we're faced with more contacts, email addresses, phone numbers, and instant messaging handles to remember; even more difficult is keeping all of this information up-to-date and available wherever and whenever you need it. Countless contact management solutions are available on the web and for your desktop, but among all that choice, it's difficult to narrow down the best. So for this week's Hive Five, we want you to tell us all about your favourite contact management tool. Hit the jump for more details and to nominate your favorite.
The first round of the Hive Five voting takes place in the comments, where you nominate your favourite tool. We get hundreds of comments, so to make your nomination clear, please include it at the top of your comment like so: VOTE: Contact Management Tool Goes Here. If you don't follow this format, your vote may not be counted. After you've made your nomination, let us know what makes it stand out from the competition.
About the Hive Five: Our new feature series, the Hive Five, asks readers to answer the most frequently asked question we get—"Which solution is the best?" Once a week we'll put out a call for contenders looking for the best solution to a certain problem, then YOU tell us your favourite tools to get a job done. A day later, we'll report back with the top five recommendations and give you a chance to vote on which is best. For example, check out last week's Best DVD Ripping Tools Hive Five.

Working on a Master list on Gmail with both Work & personal contacts, which will then sync to my Outlook 2003 (at work) which will then sync to my SEw960i mobile phone > i take that home, and it will sync with my Mac to update all the contents in the Mac Addressbook ... which i can then use with Mailplane

A very versatile software with also financial and other PIM stuff. Has a lot of features like encrypted notes, elements links (means you can link a Contact with a financial account, etc.), alerts, to-do lists, calendar, and so on...
And it is Open Source! (free)
Finally, a very important thing to notice is that it seems to be an active project.

I don't think it sucks. With Outlook I can access my contacts (around 3000 contacts) on my laptop, my workstation, and my cell phone. If it was just a matter of simply accessing my contacts, almost anything would do, but the integration with Word makes my life so much easier. Also, being able to tag my contacts and then just show specifically tagged contacts...HUGE. Now I can have a huge contact list but only show the ones I use frequently, or switch views to see a whole different list of contacts.

A truly great PIM hasn't come to market yet. The biggest hindrances are the lack of a great user interface and the lack of a truly relational, normalized database model and schema that eliminate redundancies and bring contact info alive in usable, customizable ways.

Looked for SO many other powerful contact managers, but NONE are working with so many systems (cell phones, other email progs, online sync [yes there is GMail sync which I am frequently using - www.scheduleworld.com], etc.)
Outlook IS just the industry standard, just like sending Word files is normal. There is NO better contact manager than outlook. Fuck Sunbird... sorry to say it like that but I really WISH it would be as good as Outlook, i'M a great Firefox fan, but the Contact Manager lags behind. If you need a powerful too integrated with everything (calendar, email, notes, appointments, MS Exchange Server... whatever) this is the way to go ;-)

I used to love Yahoo's Address book, built right into Yahoo IM. Nowadays I don't use YIM much, and have a GMail account, with a much, much poorer contact management setup. I really wish Google would get on the ball and really make a powerful contact manager, and then either integrate it with Gears, or release a standalone app for your computer. The day when outlook, gmail, and any other places I need to keep contacts not only can take a csv file, but also /stay synced/ will be an excellent day.

Sync is the key. I use Evolution on my Linux desktop, and as long as i can sync it with all other devices (the office and home desktops, the laptop, the phone), everything is all right. The only requirement for the client is that it's syncable.
Oh and it does sync with Google calendar and contacts if you're into that sort of thing.

I've used so many.
Outlook: Runs on Windows only, overpriced for what it is, stability issues with large data files, compatbility issues with standards and other software, syncing problems.
Gmail: Limited number of data fields, web based so I can't access it everywhere.
Plaxio and other web based: web based so I can't access my contacts everywhere like for example my parents home where dial up on old long phone lines can only reach 34k.
Act: Windows only, syncing problems, almost too many fields that you never know which to use and can never get exports into the right field.
Mozilla/thunderbird address book, too few fields, exporting problems.
Kaddressbook/Kontact on linux is the base I've used so far but I can't get it running under windows and I can't get it syncing with anything else.
My biggest problem is no one program follows standards like vcard completely so its nearly impossible to import/export or sync or share between one and the other. That and all of them seem to be modeled around paper planners which is common fault I find with most PIM software.

In today's tech world, a program cannot be properly evaluated solely by its standalone UI, it also needs to be taken into consideration how well it interacts and integrates with other applications. Apple's done something right here, making an address book database that's accessible by all of its programs and to any third party program as well (Adium's a prime example). Also, whether you have a Palm, Windows Mobile, or iPhone, there are simple ways to sync your contacts between devices. I guess .Mac syncing is also a plus, but I don't find it to be worth the $$. All other address book solutions I've tried have just been too proprietary (I know, ironic being said by a Mac user), but don't hang me for this.

Free-form note taking tool, with search, doubles as my contact manager, similar to what sbook does, though without the AI, and more stable.

It syncs my Mac Address Book, which works nicely with Quicksilver, Outlook, and iCal across all of my computers. They are always updated.
Couple that with syncing my iPod Touch and the Plaxo web interface and I always have access to my contact from anywhere, instantly.

I use outlook for almost everything it does - it's so much easier dealing with one platform. plus it syncs nicely with WM5 on my Axim. Plus all the company information is kept up to date on the exchange server so I never have to fish around to get a hold of the right person.
I've found the Xobni add-in great for its ease of use and ability to show relevant info at a glance.

The only one I really like. The thing I don't like: nothing syncs with anything else. Thunderbird doesn't even reliably sync with itself. Nor does kaddressbook.
I use a Linux desktop and a Mac laptop and feel like I'm in a world of hurt. The Mac Address book is feeble, and doesn't have enough fields, but at least it sorta syncs with the Palm. I don't know anything on Linux that reliably syncs with PalmOS 5. :-(

Another plea & empathy for those wanting standardized fields. I love Plaxo, but it doesn't sync w/Palm (are they trying to hint hint that Palm is on it's way out?)
I want something like a desktop app like Palm Desktop that is accessible offline (maybe Google Gears has an answer for that?), an email list, contacts, phone, several customs for things like b-days, and mobile numbers.
For my money, it's got to sync w/Palm, T-bird, gmail, and my non-smart phone, with a desktop & online app.

I switched from Thunderbird to Outlook for business Emails, just because of its good contacts abilities and how it integrates with Emails. In addition, the contacts are importable/integratable in a few Applications that I use, like Skype or Tapirex.

The URL is [www.soocial.com]
Soocial has a super easy contact list interface, with sweet UI.
Soocial syncs two way with GMail and Google Apps for your domain, Highrise, your phone and OS X Address book.
You can manage your contacts anywhere (the Soocial webapp is just one option) and it gets synced to all your connected devices.
I don't see any of the software mentioned in comments above, doing all this.

Surprising... only one with a mobile (that too Blackberry) contact book.
I exclusively use my Nokia E50 (S60v3) contact book on the go, anywhere I go (take it toilets as well).
I sync it with Outlook 2007 on my HP Pavilion dv2000 using Bluetooth and recently started with Zyb. Zyb on E50 is awesome as it does not require any application. Sucks as it can not back up SMS.
This has saved my days and contacts while I changed 2 companies, 3 laptops and 3 mobiles (Nokia 6600, 6681)

In all honesty, PIM is THE biggest problem in my life and productivity. I have too many copies of too many contacts, with too many networks, and too many programs. Do I need to be connected by plaxo, linkedin, myspoace, facebook, friendster, et el?
Can't THE GOOGLE make something to simplify all of this? Why don't they buy plaxo and fix it? This is so frustrating to me.
Love the idea of Plaxo, but their Sync feature is incredibly buggy, and doesn't allow you to map fields. that give each contact the same email address at least twice.
I started using pageonce as a way to manage the social networks, but its not actually live, and you have to log into the sites which sucks.
Outlook is the closest one to getting it right, but it is a resource hog, and when using it on my 2.6ghz pc it still causes problems.
I have been dealing with this for years...some one fix the interweb for me...please?
