Using Gmail IMAP in Microsoft Outlook 2007
Posted by Gina Trapani at 1:00 AM on November 3, 2007
You already know how to turn Thunderbird into the ultimate Gmail/IMAP client, but lots of folks are using Microsoft Outlook on a daily basis (whether by personal or company choice.) The How-To Geek runs down how to set up Gmail in Outlook 2007 using IMAP and what actions in Outlook do what in Gmail (flag in Outlook = star in Gmail, for example.) Outlook's Large Mail search folder is a great way to clean out your Gmail account, too.

With Outlook mapping Starred Items to Flagged, the Outlook task list has become crowded with hundreds of emails. Has anyone found a way around this?
I use categories for my tasks. The starred items have no category, so I could conceivably remove all non-gmail tasks from that category. Or I could change my usage of the star in gmail to be only actionable items. Neither seems particularly elegant.

I post this in the Thunderbird article posted by Gina, but nobody has replied yet. It may also work the same with Outlook.
Ok, I need some help. I currently use Thunderbird for my Cox email account (POP). I started giving friends/family my new Gmail account a couple of months ago. I still get email at my Cox address, so I have Gmail grab these automatically. How can I configure Thunderbird with my current setup (the settings are for my Cox email address) so I can start using it with my Gmail IMAP? If possible, it would be great to be able to drag/drop some of my old Cox emails to my Gmail email account.
What would be the best way to do this?

It's not required, like in Thunderbird, to have Outlook's sent mail pointed to [Gmail]/Sent as the behaviour would be you'd two one from Gmail SMTP and one from Outlook.
Also, you'd notice you'll have a "Junk Mail" label in Gmail as this comes from Outlook's Junk Mail folder. Anyone know how to fix this?

@DannoHung:
Yes.
With the current IMAP speeds, it's painful to open messages with large attachments.

Has anyone else noticed GMails IMAP being DOG slow, just in general?
I really hope it's just an initial capacity undershoot or something like that and not a systemic problem with their IMAP implementation.

Question: I have my gmail very organized, with labels for just about everything. Does this basically mean in Outlook, my inbox will be empty?

@natenovs: You aren't alone... I've been hearing similar reports from users, even with other IMAP clients.
I'm not sure if the issue is with Gmail, or the way the clients are using IMAP.

i'd like to warn everyone, i got locked out of gmail account for 24 hours when setting up IMAP in outlook. it was during the initial sync, which had already taken 3 hours and was only about 60% done. apparently downloading too many messages at a time from their servers is a violation of the TOS. i have over 15,000 emails in my gmail account, and I can't seem to find a way to IMAP without pulling all of the messages.

@whizkid: Updated the article to mention that it's not usually necessary.
Thanks!

@whizkid: I will check that out... I didn't see a duplicate when I was testing, but that could be an issue. Will look at it and update the article if so.

So here's the problem - when you star a message in gmail it flags it in Outlook and it adds it to your Todo bar 3 times (for the 3 times it shows up in your various folders). Checking off 2 of the flags totally removes the star from Gmail. Is there any way to prevent this from happening?

Has anyone else encountered that all emails SENT are shown in duplicate when you set Outlook up as suggested below??
Note: If you'd like to synchronize your sent mail with Gmail, you can use the Folders tab, and then select the [Gmail] \ Sent Mail folder.

The GMail POP "sent shows in inbox" or "sent arrives on phone" has to do with the conversation style display that GMail uses for its web interface. An easy fix is to setup filters that automatically put items sent from you to your sent box. That has worked for my POP access in Outlook, Mail.app, and Blackberry BIS/BES. It hasn't interefered with any mail sending/receiving, but remember the rule is there if you email yourself reminders or anything.

@ryetronics:
Gmail POP has always downloaded a copy of sent messages to your computer/handset. I never cared for it, but I guess Goog assumed that since you were downloading you might as well have a backup of EVERYTHING. POP doesn't have a means to dump those into a sent folder, so they show in your inbox.
Does your phone do IMAP? If it does switch it IMAP and enjoy the sync goodness.

I set mine up in the new Windows Live Mail. Everything works great except I get a 2nd copy of any email I send spit back at me in my phone, which has POP3 access to the same account, though the recipients aren't getting double emails. Anyone know why?
